Board Training + Long - Term Strategic Planning

REQUEST FOR PROPOSALS: Halton Black Voices (HBV) is inviting proposals from qualified third-party vendors to provide essential training for our Board of Directors. This initiative aims to enhance their abilities to meet fiduciary and governance responsibilities effectively.

OBJECTIVE
The goal of this training is to armor our Board of Directors with the crucial knowledge, skills, structure and tools required to excel in their roles. The training will focus on:

  • Understanding board roles and responsibilities

  • Enhancing board structure and composition

  • Streamlining board meetings and decision-making processes

  • Ensuring board oversight and accountability

  • Improving board communication and stakeholder engagement

SCOPE OF WORK

This training will be comprehensive, incorporating presentations, case studies, group discussions, and hands-on exercises. It is to be conducted over 4 MONTHS and can be facilitated either in-person or virtually.

Proposals should present a clear plan detailing:

  • Training objectives

  • Agenda and methodology

  • Evaluation criteria

  • Consultants' qualifications, including past experience in similar roles

PROPOSAL EVALUATION CRITERIA

Proposals will be assessed based on:

  • Experience, Reputation & Accreditations (30%)

  • Ability to Meet Service Requirements (20%)

  • Staffing and Training Capability (20%)

  • Technology and Infrastructure (10%)

  • Pricing and Cost Effectiveness (20%)

  • Total: 100%

SUBMISSION REQUIREMENTS

Interested consultants are requested to submit:

  • A cover letter outlining interest and key qualifications

  • A comprehensive training plan detailing objectives, agenda, methodology, and evaluation measures

  • A budget proposal including all associated costs

  • A list of references with contact details of prior clients

Proposals must be submitted to the contact listed above by the specified deadline. All submissions will be treated with confidentiality. The selection process will focus on proposal quality, relevance, and the consultant's expertise and qualifications. HBV reserves the right to reject any proposal and to negotiate with shortlisted candidates.

CONSULTANT -DIGITAL PRESENCE ENHANCEMENT

Halton Black Voices (HBV) is seeking the services of an experienced and dynamic 3 rd party vendor to conduct a comprehensive website audit, spearhead our digital marketing efforts, and manage our social media postings. This initiative aims to enhance our digital footprint, engage our community more effectively, and ultimately advance our mission.

Proposal Deadline: Sunday, September 15th at 5:00pm

a.) Project Description

The organization is seeking proposals from qualified consultants to:
1) Conduct a website audit on the Halton Black Voices (HBV) current website (www.haltonblackvoices.ca) 2) Develop an effective Marketing Strategy to effectively fulfill their fiduciary and governance responsibilities.
3) Create and implement an effective Social Media Strategy, which includes regular posting on HBV’s Social Media platforms (Instagram, Facebook and X (formerly Twitter).

Halton Black Voices (HBV) is a registered non-profit, intended to bring youth, families and individuals together. Our purpose is to create a safe space in the Halton region for all Black people in the community, where we can establish new connections. We aim to build stronger communities by raising awareness, educating, and empowering Black community members of all ages. We also intend to connect with allies for reciprocal educational opportunities, with the intention of creating spaces of mutual understanding and respect.

c.) Scope of Work

The organization is seeking proposals from qualified consultants to provide the following:
1. Website Audit: Conduct a thorough audit of our current website to identify areas for improvement in terms of user experience (UX), accessibility, SEO, and content strategy.
2. Digital Marketing: Develop and execute a digital marketing strategy that includes, but is not limited to, email marketing, search engine optimization (SEO), and pay-per-click (PPC) advertising to increase our visibility and engagement online.
3. Social Media Management: Create and implement a social media strategy that includes regular posting on our existing platforms, (Instagram, Facebook and X), audience engagement, and analytics review to understand performance and areas for improvement.

The consultant should have a proven track record of working with Non-profit organizations. to develop and implement effective content marketing strategies.

d) Interested consultants should submit a proposal that includes the following:

An overview of your experience and qualifications in website auditing, digital marketing, and social media management, specifically with non-profits.

• Case studies or examples of previous work that is similar to this project.
• Proposed methodology and approach for all three areas of work.
• A detailed work plan, including timelines and milestones.
• A list of relevant references, including contact information of previous clients who can provide testimonials of the consultant's work.
• Your proposed fee structure and any assumptions that your proposal is based upon.

e) Selection Criteria:

Proposals will be evaluated based on the following criteria:

• Relevance and extent of experience and qualifications.
• Understanding of non-profit sector challenges and opportunities in digital engagement.
• Quality and clarity of the proposed methodology and work plan.
• Cost-effectiveness.

f) Submission Details:

Interested consultants should submit their proposals in PDF format by Sunday, September 15th at 5pm.

All proposal submissions will be considered strictly confidential. Applicants are solely responsible for their own expenses in preparing the proposal and subsequent negotiations. The selection of the consultant will be based on the quality and relevance of the proposal, as well as the consultant's experience and qualifications. See selection criteria (section E) above. Halton Black Voices reserves the right to reject any or all proposals received and to negotiate with shortlisted consultants.
